This module is used to manage the bulletin/catalog for a particular degree level and period. Here the user can view, add, edit, delete or copy a catalog by going through a step-by-step setup. The lookup
buttons at the top include “Courses Lookup, “Grading Scheme”, “Programme Lookup”, “Category Lookup” and “Degree Lookup”.
- Click on the “Bulletin/Catalog” button on the Academic records dashboard.
To edit an existing bulletin:
- Highlight the bulletin you want to work with from the list shown and click the “Edit” button. This activate the fields for bulletin name, start date, end date, grading scheme and course level so that you can make changes.
- Click the “Next” button at the bottom right of the page to go to “Catalog Programmes”.
- To add a programme to the catalog, highlight it from the “Programmes Listing” and click on the button with the double-head arrow that points to the right.
- To remove a programme from the catalog, highlight it from the “Catalog Programmes” listing and click on the button with the double-head arrow that points to the left.
- Continue the editing process by clicking the “Next” button to go to “Programme Categories”.
- The categories that will be edited are for the programme that had been highlighted on the previous page. Click the “Edit” button to activate the fields for editing. The information in the activated fields is for the category that is highlighted.
- To edit another category, highlight it and then change the information at the top of the page. Be sure to click on the “Save” button before leaving the page.
- To edit the categories for another programme, you must click the “Back” button, highlight the programme you want to edit next,
- Click the “Next” button to edit the categories for the newly highlighted programme.
- The user may also add or delete programme categories.
- To add a category, click the “Add” button – this activates the fields at the top of the page and creates a new field at the bottom
- Enter the required data at the top of the page then click the “Save” button
- To delete a category, highlight the category you wish to delete then click the “Delete” button
- Confirm the action at the dialogue box which pops up on the screen
- Click the “Next” button to go to the “Programme Courses” screen. On the left of the page (labeled “Select Courses to Add”), there is a listing of all the courses available in the department shown at the top of the page in the “Department Filter” field. If the “All” button is checked then all courses available in the university will be shown. On the right of the page (labeled “Programme Category Courses”) is a listing of the courses in the programme that would have been selected two pages before. The courses are shown based on the category selected at the “Category Filter” field at the top.
- To add a course to the programme, select it from the “Select Courses to Add” listing and click on the arrow pointing to the right.
- To remove a course, select it from the “Programme Category Courses” listing and click the arrow pointing to the left
- Confirm the action at the dialogue box which pops up on the screen
- Click “OK” to complete the operation
- Click the next button to go to the “Prerequisites and Options” page. On the left of this page, labeled “Bulletin Courses”, is a listing of all the courses for the programme you are working on. On the right, labeled “Course Options (Properties)”, you can set up substitutable, prerequisite, and co-requisite courses for the selected course on the left.
- Choose courses from the respective drop-down menus by clicking on the arrow beside each field
- Click on the “Save Changes” button
- Click the “Ok” button to complete the operation then click the “Finish” button at the bottom right of the page
- Click “Yes” to confirm the action at the dialogue box which pops up on the screen.
To add a bulletin:
- Click the “Add/New” button. This activates the fields at the top so that you can enter bulletin name, start date, end date, grading scheme and course level. It also creates a new field at the bottom of the list of bulletins where this new information will appear
- Click the “Save” button after entering all the data
- To confirm the action click on the “Ok” button at the dialogue box which pops up on the screen then click the “Next” button at the bottom right of the screen to go to the “Catalog Programmes” screen.
- To add a programme to the catalog, highlight it from the “Programmes Listing” and click on the button with the double-head arrow that points to the right.
- To remove a programme from the catalog, highlight it from the “Catalog Programmes” listing and click on the button with the double-head arrow that points to the left.
- Continue the editing process by clicking the “Next” button to go to “Programme Categories”.
- The categories that will be edited are for the programme that had been highlighted on the previous page. Click the “Edit” button to activate the fields for editing. The information in the activated fields is for the category that is highlighted.

- To edit the categories for another programme, you must click the “Back” button, highlight the programme you want to edit next,
- Click the “Next” button to edit the categories for the newly highlighted programme.

- To delete a category, highlight the category you wish to delete then click the “Delete” button

- Click the “Next” button to go to the “Programme Courses” screen. On the left of the page (labeled “Select Courses to Add”), there is a listing of all the courses available in the department shown at the top of the page in the “Department Filter” field. If the “All” button is checked then all courses available in the university will be shown. On the right of the page (labeled “Programme Category Courses”) is a listing of the courses in the programme that would have been selected two pages before. The courses are shown based on the category selected at the “Category Filter” field at the top.
- To add a course to the programme, select it from the “Select Courses to Add” listing and click on the arrow pointing to the right.
- To remove a course, select it from the “Programme Category Courses” listing and click the arrow pointing to the left
- Confirm the action at the dialogue box which pops up on the screen
- Click “OK” to complete the operation
- Click the next button to go to the “Prerequisites and Options” page. On the left of this page, labeled “Bulletin Courses”, is a listing of all the courses for the programme you are working on. On the right, labeled “Course Options (Properties)”, you can set up substitutable, prerequisite, and co-requisite courses for the selected course on the left.
- Choose courses from the respective drop-down menus by clicking on the arrow beside each field
- Click on the “Save Changes” button
- Click the “Ok” button to complete the operation then click the “Finish” button at the bottom right of the page
- Click “Yes” to confirm the action at the dialogue box which pops up on the screen.
To delete a bulletin:
- Select the bulletin from the list of bulletins
- Click the “Delete” button
- Click the “Yes” button to confirm the action at the dialogue box that pops up on the screen.
To copy a bulletin:
- Select the bulletin from the list of bulletins
- Click the “Make Copy” button
- Click “Yes” at the dialogue box which pops up on the screen in order to confirm the action. Edit the fields at the top, where necessary, then click the “Save” button
- The new bulletin will appear at the bottom of the listing. If you would like to make further changes highlight the new bulletin and click the “Next” button to go through the setup wizard
